Services Available

Facilities Management provides routine maintenance, repair and code modifications to campus security systems. All requests for service and code changes should be requested though the Work Order Controller online or at 207-725-3333.

The Capital Renewal staff coordinate and manage projects involving major renovations and/or new construction of campus buildings from concept to final occupancy. View our projects.

The Carpentry Shop provides routine maintenance and repair of windows, screens, doors, shades, blinds, floors and roofs. The Carpentry Shop's priority is maintenance and repair. Non-maintenance requests such as construction of bookshelves, installation of bulletin or whiteboards, or hanging of items will be completed as scheduling allows and charged to the department requesting the service. To report an emergency cleanup, such as an overflowing/clogged toilet, removal of bodily fluid, removal of broken glass, contact the Work Order Controller at 207-725-3333. To reach Housekeeping staff between 7:00 am and 3:30 pm, Monday–Friday call 207-725-3685. If there is no answer, call 207-725-3672.

Between 3:30 pm and 7:00 am on weekdays, weekends and holidays please call the Safety and Security Communications Center at 207-725-3314.

Reserve the space by completing the Campus Scheduling Reservation Form, or contact the Campus Scheduler at 207-721-5115.

All set-up requests require a minimum 14 business day notice and are charged to the department requesting the service. Requests for set-ups made outside of the minimum timeframe create a strain on our resources and are strongly discouraged.

When the facilities team is unable to perform a set-up this work will be outsourced. The facilities team will make this determination based on the type of set-up and the team’s capacity. The team will provide feedback through the work order system when the set-up is completed.

The facilities team will manage the costs associated with set-up, whether provided by the team or outsourced. These costs will be invoiced to the facilities management project. The department requesting the set-up will be charged a fee for the services provided, via an inter-departmental charge. The fee for set-ups handled by the facilities team will be based on $30.00 per hour. Outsourced costs will be passed along at the invoiced amount, also through an inter-departmental charge.

The facilities team will not perform set-ups at privately owned homes.

The Mechanical Services Shop provides routine maintenance and repair of heating, air conditioning, and ventilation systems. During winter months the campus temperature set point is 68º F and during summer months it is 76º F for climate-controlled spaces.

All requests for new air conditioning units will be subject to a feasibility technical review and then forwarded for appropriate approval by the Director of Facilities Operations and Maintenance. Housekeepers clean all residential, academic and administrative buildings on campus. The standard housekeeping shift (7:00 am - 3:30 pm) services the residential buildings and the libraries. The early housekeeping shift (5:00 am - 1:30 pm) services the academic buildings and administrative offices. A few Housekeeping staff are on-site from 3:00 pm to 11:30 pm to assist with set-ups and perform floor care. Housekeeping responsibilities include, but are not limited to, servicing bathrooms, removing trash and recycling, cleaning and vacuuming public spaces, sweeping and washing floors as needed, setting up spaces for small meetings and re-setting classroom spaces at the end of the day.

Housekeepers supply light bulbs and trash bags to all students living on campus. Students living in campus apartment buildings can contact their Residential Advisor for toilet paper supplies and vacuums.

The Residence Hall laundry machines are owned and operated by Automatic Laundry.

To generate a service request:

1. Visit Automatic Laundry’s Bowdoin College Laundry Connect website: http://laundrytrackerconnect.com/Bowdoin/Bowdoin.html
2. Click on the residence hall you are experiencing the problem with.  This will take you to a page showing a live status of machines for that building.
3. Scroll to the bottom to “Send a service message” – include your email, phone # (optional) and state what issue you are having with the machine or the room.  Please include the machine number you are experiencing the problem with and any service code the machine might be displaying.

If your light is not illuminating properly please contact the Work Order Controller online or at 207-725-3333. Housekeeper staff may be able to assist in replacing your light bulb. In all cases, for safety purposes, please allow a member of the Facilities Management staff to replace your light bulb.

Compact fluorescent light (CFL) bulbs and/or light-emitting diode (LED) bulbs are available at the Office of Sustainability. Be sure to recycle your old CFL bulbs as they contain trace amounts of mercury. Leave the CFL bulb, along with a note, asking your Housekeeper to recycle the bulb as part of Bowdoin's universal waste program.

All college keys are distributed by the OneCard Office located in the lobby of Coles Tower. To obtain a key contact the OneCard Office at 207-721-5199.

Broken locks are repaired or replaced by the Facilities Management Lock Shop. To request this service please contact the Work Order Controller online or at x3333.

The Major Maintenance staff coordinate and implement major maintenance and renovation projects. Through campus wide collaboration, a long term asset preservation database is developed that advocates to improve each facility’s needs, functionality, and appearance. Major Maintenance is also responsible for the College’s record drawings and building files.

Facilities Management Events Set-up/Moves Team provides and/or coordinates all moves on campus, including moves that require outside support. All move requests require a minimum of 14 business day notice and are charged to the department requesting the service. Please ensure desks and shelves are clear of items and file cabinet drawers are empty prior to submitting a move request. Requests for moves made outside of the minimum timeframe create a strain on our resources and are strongly discouraged.

When the facilities team is unable to perform a move this work will be outsourced. The facilities team will make this determination based on the type of move and the team’s capacity. The team will provide feedback through the work order system when the move is completed.

The facilities team will not pick up or deliver to/from privately owned homes, or transport items/materials that could be classified as hazardous in nature. Questions about transporting hazardous materials can be directed to our Associate Director of Environmental Health & Safety at 207-725-3763.

The Carpentry Shop provides patching and painting services to repair damaged wall surfaces. To schedule patching and painting repair work please contact the Work Order Controller online or at 207-725-3333.

For pest control issues, i.e. mice, ants, suspected bed bugs, squirrels, etc. contact the Work Order Controller online or at 207-725-3333. Representatives from our pest control contractor are on campus twice a month and can respond as needed.

The Mechanical Services Shop handles all routine maintenance and repairs of campus plumbing, including faucets, showers, drains and toilets. To report areas in need of plumbing maintenance or repair please contact the Work Order Controller online or at 207-725-3333.

The Electrical Shop maintains all electrical systems throughout campus. If you are experiencing an outlet that has no power there are three things you can check.

1. Check to see if the outlet is controlled by a wall switch near the door (as is common in the Brunswick Apartments and first year "brick" residences).
2. If you are using a surge strip you may need to reset the strip if it has been overloaded.
3. Try plugging your appliance into another outlet to ensure that it is working properly. If you continue to experience no power please contact the Work Order Controller online or at 207-725-3333.

If your breaker has been tripped please look around your room and try to identify what would have blown the fuse. Each dorm room is capable of handling 2,000 watts. For example, a typical hairdryer uses 1,250 watts and a typical color tv uses 110 watts. Any more than 2,000 watts being used in a dorm room at one time may cause power loss.

A limited selection of College-owned houses and apartments located on the perimeter of the campus are available for rent to newly hired faculty and staff. The properties include a combination of unfurnished houses, unfurnished two-bedroom duplexes, and furnished one-bedroom apartments.

The allocation of College rental housing is based on the following considerations:

• New incoming appointments relocating to the Brunswick area;

• Priority assigned to tenured and tenure-track faculty appointments; and

• Requests are accepted on a "first-come, first-served" basis once a signed employment contract has been received.

A small number of units normally become available to rent in August for the upcoming academic year. The maximum term of a lease is one year and all leases terminate on June 30. A lease can be renewed no more than twice (for a total of three years of occupancy). Residents may not sublet College rental housing.

Monthly rental rates are comparable with the local housing market. The costs of water and sewer are included in the rent. Tenants are responsible for heat, electricity, cable, and telephone. Proof of renter's insurance is required. A security deposit (equal to one month's rent) is due upon lease signing. Monthly rent payments are made through payroll deduction prior to the month for which the rent is due.

Re-used Furniture and Office Supplies

The off site warehouse stores office/miscellaneous furnishings for re-use by Bowdoin faculty and staff in College owned property.

For College owned office/miscellaneous furnishings at the end of their useful life contact the Work Order Controller at 207-725-3333 to arrange for recycling and/or disposal of the items.

Office Supplies

Does your department have office supplies that have been sitting unused for years? Are you moving on campus and just have too many supplies you don’t want to move with you? You can donate those items to the office supply shop located at 10 Cleaveland Street.

We accept most office supplies and then offer them for re-use to other departments around campus. As the shop fills up, surplus items will be donated to local non-profits that help provide school supplies to teachers.

Facilities Management usually begins snow removal after an inch of accumulated snow has fallen. Snow removal services include plowing of parking lots and walkways, and shoveling steps and handicap ramps. The snow removal crew includes about 18 people and it takes them approximately 8 hours to clean up and open up the campus after storms. Facilities Management provides trash and recycling removal from all academic and administrative buildings as well as residential halls. Trash removal occurs on Tuesday and Friday.
